How to configure, manage, and utilize Data Alerts

Data Alerts are designed to improve data reliability by proactively notifying you of potential issues in your data imports and integrations. These alerts give you visibility into any data issues before they impact your planning or reporting workflows, allowing you to resolve them quickly and independently.

Alert Status

Data Alerts always start as Active, but they will be marked as Resolved once the issue has been addressed:

1. Active Alerts:

  • These represent ongoing issues that may need your attention, such as failed imports, failed integrations, or missing data imports.

  • When an Active alert is triggered, a notification badge will appear on the Data Alerts icon, indicating the number of new, unseen issues (specific to your user).

  • The Active tab in the notification panel shows the details of the issue and provides links to quickly navigate to the relevant areas (e.g., import history or integration settings) to investigate and resolve the problem.

  • Once an issue has been addressed (e.g., a missing import is received or a failed import is retried successfully), the alert is automatically marked as Resolved by the system.

  • You also have the option to manually mark alerts as resolved if you’ve dealt with them. If you decide to do so, you will be asked to confirm your action.

2. Resolved Alerts:

  • Active alerts are moved to Resolved once the issue is addressed or marked as Resolved

  • Resolved alerts remain accessible in the Resolved tab for reference

Alert Types

The 3 key types of alerts flagged will be failed imports, failed integrations, and missing import alerts. Please find a summary of each alert, as well as the 'next steps' or click path you are automatically directed to upon clicking on each alert type:

1. Failed Imports:

  • What it means: An import file was received but failed to be processed correctly, often due to format errors, missing fields, or structural issues.

  • Next Steps: Click on the alert to navigate to the Import History page, where you can review the details of the failed file in import history. You can review the file or configure an importer mapping to resolve the issues.

  • How it's automatically resolved: Import for the context of the file is successful (does not need to be the same file)

2. Failed Integrations:

  • What it means: An automated integration with an external data source (e.g., an ERP or Data warehouse) has failed, resulting in data not being imported into Toolio.

  • Next Steps: From the alert, you can quickly access Settings > Integrations to retrigger the failed integration, view the error details, or reconfigure the integration if necessary.

  • How it's automatically resolved: Integration is retriggered and completed successfully

3. Missing Imports:

  • What it means: Expected data imports haven't been received within a predefined threshold (e.g., within 24 hours), indicating potential issues with data being delayed or not sent. This is primarily relevant for data deliveries originating from external systems (e.g. using NetSuite Saved Search, SFTP, email, or S3 deliveries). Please see below for how to configure Missing Import Thresholds in Settings > Notifications

  • Next Steps: You can configure the expected import schedule in Organization Settings > Notifications. Alerts will be resolved when the data is received, even if there are errors in the file.

  • How it's automatically resolved: Import for that context is received by Toolio (doesn't mean that it imports successfully - in which case you will see a new failed import alert)

  • Setting Time Thresholds for Missing Imports:

    • Go to Organization Settings > Notifications to define the time frame within which you expect data to be imported for each specific context. This is represented in days.

    • You can configure the system to alert you if no import has been received for a specific context within 1 day, 2 days, or even a week.
