Toolio allows snapshotting the current version of the Assortment Plan for comparison later on.

Overview

Snapshotting in Toolio allows you to save the current state of all metrics within an Assortment Plan, enabling you to reference these values later. This feature is essential for tracking changes over time and comparing different planning scenarios. Some common use cases include:

  • Tracking Progress: Saving initial sales and inventory projections at the start of a season to compare against actuals as the season progresses.

  • Scenario Planning: Testing various scenarios—such as different order cycles or assortment choices—and saving how plans roll up under each scenario for future reference.

Workflow

You can create a snapshot either from the Reporting view or the Metrics view. Regardless of where the snapshot is initiated, the process and the data saved are the same.

How It Works

  • When you create a snapshot, Toolio saves the "Adjustment" version of all metrics for every product across all time periods.

  • Whether you create the snapshot in the Metrics view or Reporting view, the underlying data and structure remain consistent.

Scheduled Snapshots

Toolio also allows scheduled snapshots of the current version of the Assortment Plan for comparison later on.

The Scheduled and Manual Snapshots allow admin users to automate or manually capture snapshots of the Assortment Plan at specific intervals. This ensures consistent data archiving and provides historical reference points for metric analysis.

Navigation:

The admin user navigates to Settings -> Module Settings -> Assortment Plan -> Scheduled Snapshots.

Viewing/Editing Scheduled Snapshots:

  • The admin user can view or edit existing scheduled snapshots.

  • If no scheduled snapshots exist:

    • The admin clicks Add.

    • The system displays options for scheduling: Weekly or Monthly.

    • The admin user configures the following:

      • Naming Convention

      • Recurrence Rules (weekly or monthly)

      • Time Details

Snapshot Generation:

  • Weekly Snapshots:

    • The system generates weekly snapshots based on the defined recurrence rules.

  • Monthly Snapshots:

    • The system generates monthly snapshots based on the defined recurrence rules.

Restrictions:

  • After a scheduled snapshot is created, the system enforces a one-snapshot limit.

  • If the admin attempts to add another snapshot, the system displays a message stating that only one scheduled snapshot can exist at a time.

Snapshot List Integration:

  • The snapshot scheduler adds entries to the snapshot scheduler list.

  • Once scheduled, snapshots run at the configured time and are automatically added to the snapshot list.

  • Created snapshots become available in AP Line Building and Reporting, enabling users to reference and utilize them.
