How Do I Use Toolio Agents in Slack?

Connect your Slack workspace to Toolio, choose which agent answers in each channel, and ask agents questions in Slack threads.

The Slack integration lets your team ask a Toolio agent questions without leaving Slack. Mention the bot in a channel or thread, or send it a direct message, and an agent from Agent Hub answers right there in the thread.

Slack is set up once for your whole organization, on a single settings page. You decide which agent answers in which channel, and what that agent is allowed to read there.

Use Cases

  • Asking a quick question about sales or inventory from the channel where the conversation is already happening

  • Giving a buying team's channel its own agent, with access limited to that team's data

  • Letting people who don't use Toolio every day get answers from your plans, with read-only access

  • Replacing screenshots of the Toolio grid pasted into Slack with an answer the whole channel can see

Before You Start

You need two things to set up the integration:

  • Toolio admin access. The Slack Integration page appears under Settings > AI & Agents only for admins, and only when Tooli and the Slack integration are both turned on for your organization. If you're an admin and don't see the page, contact Toolio support to turn the Slack integration on.

  • Permission to create and install apps in your Slack workspace. Depending on your workspace's settings, a Slack admin may need to approve the app.

Any enabled agent in Agent Hub can answer in Slack, including the built-in Tooli agent. Create and configure the agents you want to use there first. Disabled agents appear in the Agent pickers marked (disabled) and can't be chosen.

Connecting Your Slack Workspace

Go to Settings > AI & Agents > Slack Integration. Until a workspace is connected, the page walks you through three steps.

Step 1: Create the App in Slack

Toolio generates a manifest, a description of the Slack app with everything it needs already filled in. You create the app from it on Slack's side.

  1. Click Copy Manifest.

  2. Choose Create New App, then From a manifest.

  3. Pick your workspace, paste the manifest, and create the app.

  4. Open Install App and install it to your workspace.

💡 The manifest is generated for the Toolio site you copied it from, and it tells Slack where to send messages. Always copy it from your own Toolio site's Slack Integration page.

Step 2: Paste the Credentials Back

Toolio needs three values from the app you just created. Each field shows where to find its value in the Slack app settings.

Click Connect. Toolio checks that the token works, that the app was granted the permissions it needs, and that the token belongs to the App ID you entered.

Step 3: Send a Test Message

Once connected, the Send a test message card posts a real message to a channel to confirm the bot can reach your workspace. Everyone in the channel sees "Toolio is connected to this workspace. Agents can post here.", so choose a channel you don't mind posting in.

  1. Invite the bot to the channel in Slack.

  2. In Slack, open the channel, choose View details, and copy the channel ID at the bottom of the panel.

  3. Paste it into Channel ID and click Send Test.

Choosing Which Agent Answers

Two settings decide which agent answers a message: the default agent and channel rules. A channel rule always wins over the default.

The bot only answers in channels it has been invited to. Invite it to every channel where you want an agent to answer.

Default Agent

The Default agent card sets the agent that answers in every channel the bot is in that has no rule of its own, and in direct messages. Pick an Agent, one or more Roles, and optionally a Datascope, then click Save.

Switch the default off to make agents answer only in the channels that have a rule. In direct messages and in channels without a rule, the bot then replies with a notice, visible only to the asker, that it isn't set up to answer there.

Channel Rules

A channel rule pins a specific agent, and the access it reads with, to one channel. To add one:

  1. In the Channel rules card, click Add Channel.

  2. Choose the Channel. Private channels show a lock icon, and channels the bot hasn't joined yet are marked bot not in channel.

  3. Choose the Agent, one or more Roles, and optionally a Datascope.

  4. Click Add.

To change a rule, edit its agent, roles, or datascope directly in the table, then click Save on that row.

What Agents Can Read in Slack

In Slack, an agent does not use the permissions of the person asking. It reads and acts with the roles and datascope you chose for that channel's rule, or for the default agent. That applies to everyone who can post in the channel, including people who have no Toolio account.

This is different from Tooli chat inside Toolio, where a conversation runs as the person typing. It's deliberate: an answer posted in a Slack thread is visible to everyone in the channel, so what the agent can read is the only control that actually protects your data.

A channel rule never falls back to the default agent's access. If the rule's access can't be set up, the agent refuses to answer in that channel instead.

❗ Choose roles for the whole channel, not for the most senior person in it. Pick a role that can edit only if everyone in the channel should be able to change data, and use a datascope to limit a team's channel to that team's part of the business.

Using an Agent in Slack

Asking a Question

Mention @Toolio in a channel, or send the bot a direct message. The agent answers in a thread under your message.

While it works, a Thinking… status appears under the thread, followed by what the agent is doing, such as reading the merchandise plan. Each answer ends with a short footer showing the model and how long the answer took, plus the agent's name when it isn't the built-in Tooli. Long answers are split across several messages in the thread.

Replying in a Thread

Once an agent has answered in a thread, you can keep talking to it there without mentioning the bot again. Every reply in that thread is part of the same conversation, so the agent remembers what was already asked.

If you send another message while the agent is still answering, it adds your message to the answer in progress. You see a note, visible only to you, saying "Added to the answer already in progress.", and the thread gets one answer covering both messages.

If the agent's configuration changes in Agent Hub, the next answer in an older thread starts a fresh conversation and says so at the top.

When the Bot Doesn't Answer

When the bot can't answer a mention or a direct message, it replies with a message only you can see, explaining what an admin needs to do.

If the bot answers "I could not complete that request.", the agent ran into a problem. Try asking again.

If the bot stays silent everywhere, check that it has been invited to the channel, then ask an admin to re-enter the signing secret with Update Credentials.

Changing or Removing the Integration

Once connected, the page shows the Connection, Default agent, and Channel rules cards.

Turning the Connection Off

The switch on the Connection card stops all Slack traffic without losing your setup. Your default agent and channel rules stay as they are, ready for when you turn it back on.

Updating Credentials

Use Update Credentials to fix a wrong bot token or signing secret without losing your setup. Toolio cannot read the current values back, so paste both again and click Update.

The App ID can't be changed here. To use a different Slack app, disconnect and connect the new app instead.

Viewing Connection Details

Click Details to see the connected workspace, its IDs, when it was connected, and the permissions the app was granted. The manifest is here too. If Toolio adds a permission in the future, reinstall the app in Slack from this manifest.

Removing a Channel Rule

Click the delete icon at the end of the rule's row and confirm. The agent stops answering in that channel, and the default agent answers there instead if it is on.

Disconnecting Slack

Click Disconnect and confirm. Toolio forgets the workspace, stops answering there, deletes every channel rule, and turns off the default agent. Connecting again starts from an empty setup.

To fix a wrong token or signing secret, use Update Credentials instead of disconnecting.

FAQs

Can an agent read files I attach in Slack?

No. When a message includes a file, the agent answers from the message text alone and does not see the attachment.

Why did the agent stop replying in a thread?

Most likely someone asked it to keep quiet. When you tell an agent to stop, for example "thanks, that's all", it can reply with nothing and pause the thread, and it then ignores later replies there. Mention @Toolio in the thread to wake it up again.

Why can't I delete an agent in Agent Hub?

The agent is still in use in Slack. Toolio blocks deleting an agent while a channel rule points at it, or while it is the default agent and the default is switched on. The error names where it is used. Remove those channel rules, and pick a different default agent or switch the default off, then delete the agent.
