Managing the List of Scenarios

Where to view and manage every scenario in your organization from Settings, and the permission required to do it.

Admin only. Managing the organization's scenarios from this page (changing a scenario's visibility, reassigning its owner, locking or unlocking, and deleting) requires the ADMIN_PERMISSION. Users without it can plan inside scenarios but cannot manage the list here.

Toolio keeps every scenario in your organization in one place so admins can review and manage them from a single list. This article covers where that list lives, what you can do from it, and who has access.

Where to Find It

Go to Settings → Organization Settings → Scenarios.

This page shows every scenario in your organization in a single grid, including each scenario's:

  • Name

  • Type (Public, Restricted, or Private)

  • Owner

  • Locked status

  • Snapshot status

  • Created and last updated dates

For example, in the list above, 20% Up Scenario is PRIVATE, so it is only visible to its owner, while Original Plan and Snapshot are RESTRICTED, meaning changes to them have to go through a merge request. Boot Scenario and Validation Test are PUBLIC, so anyone in the organization can see and edit them. The Owner column tells you who created each scenario, which matters because sharing and (for non-admins) visibility changes are limited to the owner.

What You Can Do From This Page

From the Scenarios list, an admin can manage any scenario in the organization:

  • Create a new public or restricted scenario using Create New Scenario.

  • Change a scenario's visibility between Public and Private, or set a scenario as Restricted.

  • Reassign the owner of a scenario.

  • Lock or unlock a scenario to make it read only.

  • Delete one or more scenarios (select the rows, then right click and delete).

Who Can Access It

Access to managing scenarios here is controlled by the ADMIN_PERMISSION.

A few things to keep in mind:

  • Changing visibility is owner-or-admin. Only the scenario's owner or a user with ADMIN_PERMISSION can switch a scenario between Public and Private. There is no separate permission for the Public to Private change on its own.

  • A scenario with no owner can only be recovered by an admin. If a scenario is set to Private and has no owner, it is not visible to anyone. Because sharing is owner only, the only way to bring it back is for an admin to set it to Public again or assign it an owner from this page.

  • Sharing a private scenario is owner only. Admins cannot share a private scenario they did not create. See Scenario Planning for the sharing flow.
