Every saved dataset in Toolio — the reusable filter and timeframe combinations used across Merchandise Plan, Assortment Plan, and Allocation — has a permission level that controls who can see and reuse it. The Dataset Permissions settings page gives admins a single, organization-wide view of every dataset, who created it, and what permission level it's set to.
Use Cases
Auditing which datasets are shared organization-wide versus kept private by individual planners.
Locking down a dataset that powers a shared report so it can't be changed by just anyone.
Cleaning up unused or duplicate datasets across modules.
Finding all datasets tied to a specific module, like Allocation Plan or Assortment Plan.
Where to Find It
Go to Settings > Organization Settings > Dataset Permissions. It sits right next to View Permissions, which manages the same kind of sharing settings for saved views.
Permission Levels
Every dataset is assigned one of four permission levels:
Permission | Who Can See / Use It |
Private | Only the creator and admins can see and apply it. |
Public - Non Restricted | Visible and usable by everyone in the organization. |
Public - Restricted | Visible and usable by everyone, but the permission level itself can only be changed by the creator or an admin. |
Public - Toolio Restricted | Built and managed by Toolio. Visible to everyone, but locked — it can't be edited or reassigned from the UI. |
This mirrors the tiering used for view permissions — the same four levels, applied to datasets instead of views.
Reading the Grid
The grid lists every dataset in your organization with the following columns:
Dataset Name— the name given to the saved filter/timeframe combination.Permissions— the current permission level (see above).Context— the module the dataset belongs to, such as Assortment Plan or Allocation Plan.Creator— the user who created the dataset. This is blank for legacy or system datasets.Created At/Last Updated At— timestamps for when the dataset was created and last modified.
Changing a Dataset's Permission
Double-click the
Permissionscell for the dataset you want to update.Choose the new level from the dropdown: Private, Public - Restricted, or Public - Non Restricted.
❗ `Public - Toolio Restricted` datasets don't show a dropdown — they're managed by Toolio and can't be reassigned from this page.
Filtering, Grouping, and Sorting
Use the toolbar above the grid to work through a large list of datasets:
Filter— narrow the list byDataset Name,Permissions,Context, orCreator.Group— organize datasets by any column, such as grouping byContextto review all Allocation Plan datasets together.Sort— order the list ascending or descending by any column.Use the row checkboxes to select multiple datasets at once for review.
Best Practices
Use Public - Restricted for datasets that power shared dashboards or reports, so they stay visible to everyone but can't be changed by just anyone.
Periodically review the
Dataset Permissionspage to clean up unused or duplicate datasets, especially ones with noCreatorlisted.
FAQs
Why can't I change the permission on some datasets?
If a dataset is set to Public - Toolio Restricted, it's built and managed by Toolio and can't be edited from the UI. For Public - Restricted datasets, only the creator or an admin can change the permission level.
Where do datasets come from?
