How Do I Use the Rollups Panel in Assortment Plan?

Open the Rollups panel in Assortment Plan and build tabs of KPI tiles, tables and charts that summarize your choices.

The Rollups panel sits above the grid in Assortment Plan. It summarizes the choices in your current filter and timeframe in tabs of KPI tiles, tables and charts. Use it to see how the assortment is doing against plan, last year and your Merchandise Plan without leaving the plan.

Use Cases

  • Keep a shared Overview of sales, margin, receipts and inventory against plan.

  • Reconcile your Assortment Plan against the Merchandise Plan, metric by metric and month by month.

  • Track the season in-season: performance to date, the last few weeks, and top and bottom styles.

  • Answer a one-off question with a widget, then open it in Reporting to dig further.

Turning On the Rollups Panel

The Rollups panel is turned on for your whole organization in Assortment Plan Settings. It is off until someone turns it on.

  1. Click your initials in the top right corner and choose Settings.

  2. In the left menu, under Module Settings, expand Assortment Plan.

  3. Click Assortment Plan Settings.

  4. In the Rollups Panel section, turn on Rollups Panel Enabled.

  5. Click Save.

Open Assortment Plan, or click the refresh button on a plan that is already open, to see the Rollups button. Users who can edit Assortment Plan Settings can change this setting. If you can't, ask your admin.

While the panel is off, Assortment Plan shows the earlier rollups bar above the grid instead. See Assortment Rollup.

Opening the Rollups Panel

In Assortment Plan, click Rollups in the toolbar. The panel opens above the grid on its first tab.

Everything in the panel reports on the same choices and weeks as the grid: the dataset the page last ran, with the grid's current filters, including filter changes you have not saved to the dataset. When you pick another dataset, click the refresh button on the page. The widgets update together with the grid.

Click the expand icon in the top-right corner of the panel to view it full screen. Click Rollups again to close the panel.

Working With Tabs

Each tab is a page of widgets, saved for everyone who opens the panel. Changes to tabs and widgets save automatically, and a short message confirms each one, for example Season Scorecard saved. A tab's description shows at the top of the tab, next to an info icon. Hover over a tab and click its ⋮ menu to manage it.

Add a Tab

Click + at the end of the tab strip, enter a Tab name and click Add. The new tab opens empty, ready for widgets.

Rename and Reorder

Click Rename, type the new name and click Rename. Click Move left or Move right to change the tab's position among the regular tabs.

Edit Description

Click Edit description to add a short note about what the tab shows, up to 500 characters. Hover over a long description to read it in full.

Duplicate

Click Duplicate to copy the tab with all of its widgets and its description. The copy is added at the end of the strip.

Static Tabs

Static tabs are the standard tabs your team relies on, such as Overview and Reconciliation. Click Set as static to make a tab static. Static tabs:

  • Show a grey Toolio mark before their name.

  • Always come first in the tab strip, so the panel opens on the first of them.

  • Cannot be moved or deleted. Their menu offers Rename, Edit description, Duplicate and Unset static.

Click Unset static to turn a static tab back into a regular tab. A duplicated tab is never static.

Delete

Click Delete and confirm. The tab and its widgets are deleted permanently. To delete a static tab, unset it first.

Adding a Widget

  1. Open a tab and click Add Widget.

  2. Pick a Display: Number, Table, Pie Chart, Bar Chart or Line Chart.

  3. Enter a Title.

  4. Pick a Metric and its Variants. Click Add Metric to add more rows. A new row starts with the previous row's variants.

  5. Set the grouping and time options below, then click Add.

Display

  • Number shows one tile per metric. The first scenario variant, such as Act or Plan, is the headline value. Each other scenario variant shows as a comparison, for example ▼ 8% vs Plan. Variance and share variants show their own value.

  • Table without a grouping and with Total shows metrics as rows and variants as columns. This is a good layout for reconciliation.

  • Table with a grouping lists one row per group. A time group such as Monthly adds a column per period under each metric.

  • Pie Chart with a grouping shows each group's share of the first metric. Without a grouping, each metric and variant pair is a slice, for example Gross Sales Retail (Act) and Gross Sales Retail (Plan).

  • Bar Chart and Line Chart without a grouping show each metric over time. With a grouping and Total, a bar chart compares the groups. With a grouping and another time group, they plot the first metric only, with one series per group.

Metrics and Variants

Pick any metric the widgets can calculate: stored metrics plus derived metrics built from simple formulas. Variants include Act, Plan, the last-year variants such as Act LY, Merchandise Plan, variances such as % Var Act vs. Plan, and the shares of the total described below.

Order of Metrics and Variants

To change the order of the metrics, drag a metric row by the handle on its left. The handle shows when the widget has more than one metric.

Click Variants to open the variant list. It is the same list as Variants in the grid's view menu: search at the top, and the selected variants first. Drag a selected variant by its handle to move it, or hover over it and click Move to top.

The order of metrics and variants decides the tiles, the table columns, the chart series and the headline of a Number tile. In a Table, all metrics share one variant order: when you reorder one metric's variants, the same variants move in the other metrics too.

Share of Total

% of TTL and % of Grand TTL show each group's share of a total, like the columns of the same names in the planning grid. Both are available for Act, Plan, Act LY, Plan LY and MP, for example Plan % of Grand TTL.

  • % of Grand TTL is a group's share of all the widget's groups.

  • % of TTL is a group's share of its parent group. With Group By set to Division and Class, the Men · Tops row shows its share of Men. With a single grouping, it is the same as % of Grand TTL.

A Top setting does not change the total. The groups you see keep their share of all groups, so they don't need to add up to 100%. Pie Chart widgets offer % of Grand TTL only, because a pie shows one whole.

Group By

Pick one or more attributes, such as Category, Color or Style No, to split the widget into one row, bar or slice per group.

Time Group

Time Group decides which weeks the widget totals and how it buckets them. The Choosing a Time Group section below explains each option.

Top

With a grouping, pick Top 5, Top 10 or Top 25 to keep the highest groups, or Bottom 5, Bottom 10 or Bottom 25 to keep the lowest. Then pick the metric in Sort by and its Variant. The sort metric does not need to be one of the widget's metrics.

Width and Height

Width is 1 column, 2 columns or Full row. Height is 1 row, 2 rows or Full height. Taller widgets let shorter ones stack beside them.

Choosing a Time Group

Time group

What the widget totals

Weekly, Monthly, Quarterly, Half-Yearly

One bucket per retail week, month, quarter or half in the timeframe

Total

The dataset's whole timeframe

To Date (timeframe so far)

The dataset's timeframe up to the last closed week

Last Week, Last 4 Weeks, Last 8 Weeks, Last 13 Weeks

The last closed weeks before this week

This Week

The current week

Next 4 Weeks, Next 13 Weeks

The weeks after this week

Month to Date, Quarter to Date, Half to Date, Year to Date

The current retail month, quarter, half or year up to the last closed week

Every option below Total reports over its own weeks instead of the dataset's timeframe; the dataset's filters still apply. These widgets show a badge next to their title, such as To date, L4W or MTD. Hover over the badge to see the exact weeks.

A To date badge and its tooltip naming the weeks the widget covers

Number and Pie Chart widgets offer Total and the options below it. Line Chart widgets offer the weekly to half-yearly options and Total. The options below Total are available on retail (week-based) calendars.

To Date

To date cuts the dataset's timeframe at the last closed week, so actuals, plan and last year compare over the same weeks. If your organization counts the current week in to-date columns, the current week is included too.

This matters in-season. Total adds up the whole timeframe, including weeks that have not happened yet, so plan and last year count weeks that have no actuals. A season can read as far behind plan on Total while it is close to plan on To Date.

  • A timeframe that is already over is totaled in full.

  • A timeframe that has not started yet, such as next season's dataset, has no closed weeks to total. The widget says so and suggests Total, which reviews a plan before its season starts.

Rolling Weeks

Last Week and Last 4/8/13 Weeks count closed weeks back from this week, the same way as the LW to L13W columns in the planning grid. This week never counts. They give a recent trend that does not depend on the dataset's timeframe.

Month, Quarter, Half and Year to Date

These run from the first week of the current retail period up to the last closed week, the same way as the MTD to YTD columns in the planning grid. The last closed week is last week. If your organization counts the current week in to-date columns, the current week is included too.

Managing Widgets

Click a widget's ⋮ menu to manage it.

  • Edit opens the widget in the same dialog you added it with. Save turns on once you change something.

  • Duplicate adds a copy to the same tab.

  • Copy remembers the widget. Right-click an empty area of any tab and click Paste to add a copy there.

  • Open in Reporting opens Reporting in a new tab with the widget's dataset, filters, grouping, metrics and variants. Nothing is saved until you save a view there.

  • Delete removes the widget permanently after you confirm.

To reorder widgets, drag a widget by its header and drop it in its new place.

Filter a Table

On a Table widget, click Quick Filter (the search icon next to ⋮) and type. The table shows only the rows whose name contains every word you type, so men tops finds Men · Tops. The filter works on the rows the widget shows, after Top, and it isn't saved with the widget.

Open in Reporting

Reporting opens with the widget's time group, or on exactly the widget's weeks for To Date, the rolling weeks and the periods to date. A Top setting carries over as the sort; Reporting lists every group in that order.

Reading the Numbers

  • A dash (—) means there is no value: the variant has no data for the choices and weeks the widget covers, or a percent variance has a base of zero. Hover over an empty tile to see why and which other variants have data.

  • ∞% means a percent variance is 100 times the base or more. This usually means the base is close to zero.

FAQs

Why Don't I See the Rollups Button?

The Rollups panel is off for your organization. Turn on Rollups Panel Enabled in Assortment Plan Settings, as described in Turning On the Rollups Panel, then refresh the plan.

Why Does Act Look Far Behind Plan on My Overview?

A widget on Total adds up the whole timeframe, including future weeks that only have plan and last year. Switch the widget's Time Group to To Date (timeframe so far) to compare the same elapsed weeks.

Why Is My Month to Date Widget Empty?

In the first week of a month there is no closed week in that month yet, unless your organization counts the current week. The same applies to quarters, halves and years. Hover over the badge to check.

Why Does To Date Say the Timeframe Has Not Started?

The dataset's timeframe starts after the last closed week, for example when you are planning next season. Use Total to review a plan before its season starts.

Why Didn't My Widgets Change When I Picked Another Dataset?

Widgets follow the dataset the page last ran, like the grid does. Click the refresh button on the page to apply the new dataset.
