Creating, Importing, & Managing Options

Options define the values that single-select Attributes can take. Please see the steps below on how to manage Options.

Options define the values that a particular attribute can take. This is very important for when you want to ensure that you use consistent values for a specific attribute. Please see below on how to add new Options and manage them.


Managing Options

Options are accessible under Account > Settings > Data Management > Options

Adding a new Option

Click Add on the top right hand side of the page to create a new Option. Each Option has a name and a list of Values that the Option can take. As an alternative, you are also able to Import Options directly to Toolio.

Please note that option values are not case sensitive. For example, if the Channel option is defined as "ECOMMERCE" but we receive "eCommerce", Toolio has no problem attributing and populating the data. However, it is important to keep in mind the option will be displayed exactly as you configure them in your Toolio settings.

After you've created your new option, you will need to add the values that an Option can take. You can do this by clicking Add on the top right and entering the Option Value Name. For example, if you are creating a Fabric Option, the values might be Stretch, Denim, etc.

The only required value you need to enter is Option Value Name, but please see below for a breakdown of the other fields:

Once you hit create, you should be able to see your new Option Values defined beneath the Option. You can continue making edits to existing values or add new values from here.

Managing an Existing Option

You can manage an existing Option (e.g. add new Values or delete the Option) by right-clicking the Option and making the relevant changes.

Options and Sort Order

Options can be re-ordered and this will determine the order in which they will show up after sorting. For example, we will want sizes to sort non-alphabetically (e.g. XS, S, M, L, XL). This can be achieved by changing the order for options using option management. Please see below what it looks like.

Bulk Updating Option Orders

If you would like to update the option orders in bulk, doing this via an import might be the faster way. For this you will need to make sure to include Order (as can be seen in this sample). Below is a quick video that shows how this can be achieved.

Importing Options

To Import Options and Values, you will just need to import a CSV file in the format outlined by the required fields here. You can also reference a sample import file here.

Please note that only Option Name and Option Value Name are required for the import.

Once the CSV file is ready for import, you can navigate to the Options page and select New Import

From there, you will be prompted to select the CSV file to upload.

FAQs

How do I handle different values that I might have given to the same Option and treat them as the same option?

This is handled via Aliases. When you are editing Options, you can add different aliases to map into the given option. For example, below is how you would handle attributing Scarlet and Crimson as Red

How can I identify data that does not match an option value for single select attributes?

For single-select attributes, you can identify products that have an undefined option value by the red flag in master data.

To see all items with invalid options, you can filter by "is invalid"

Once identified, you can follow the steps above to add the new option and refresh your data.
