System Recommended is a warehouse split profile that lets Toolio decide how a Recommended Purchase Order's units should be divided across your warehouses. Instead of applying fixed percentages that you define (see Splitting Purchase Orders by Warehouse), Toolio calculates each warehouse's share from the planned demand of the locations it serves, net of the stock the warehouse already has on hand or on order.
Use Cases
System Recommended splits fit teams whose warehouse needs shift with the plan:
Your warehouses serve different sets of stores, so a fixed percentage goes stale whenever the assortment or the store plan changes.
You want new buys to correct inventory imbalances — a warehouse that is already well stocked should receive less of the next order.
You want a repeatable, explainable split without building and maintaining a percentage profile for every department or vendor.
You can mix approaches freely: some lines on System Recommended, others on your own percentage profiles, within the same purchase order.
How the Split Is Calculated
Toolio combines two ingredients per warehouse: the demand it needs to cover, and the stock it is already projected to have. Each warehouse's share of a line's ordered units reflects its unmet demand — planned demand minus projected stock.
Demand Follows Your Sourcing Setup
Each selling location's planned demand for the choice is attributed to the warehouse that sources it, using the source relationships configured on your locations (Manage Sources — see Location Management). A store sourced by more than one warehouse contributes its demand equally to each of its sources.
A location that is itself a source (Is Source Location = True) — for example, a web channel that ships straight from a distribution center — covers its own demand, unless you have given it explicit sources, in which case those win.
Stock On Hand and On Order Is Netted Out
Before splitting, Toolio projects what each warehouse will hold when the order starts:
Current inventory at the warehouse and the locations it sources, plus
Units arriving on open purchase orders due before the order's start date, minus
Planned sales between now and the order's start date.
Projected stock never goes below zero, and it reduces the warehouse's share of the buy: stock already sitting at a warehouse, or already heading there, means fewer new units are sent to it.
Running a System Recommended Split
Open your purchase order and go to the Split PO step.
Open the split profile dropdown on a line.
System Recommendedis pinned at the top of the list, right below the clear option, with your own profiles listed after it.Assign it to the lines you want and click
Save.

Saving queues the calculation and a Warehouse Split Calculation Started dialog confirms it is running in the background. You can keep working — progress is also visible in the Task Manager.
System Recommended splits run on purchase orders that are still in Saved status. Once a document is Approved or Issued, its splits are locked in like the rest of the document.
While the Calculation Runs
The calculation typically takes a short while on large documents, and Toolio protects the document while it works:

You can navigate away or close the document. If you reopen it while the calculation is still running, Toolio picks the watch back up and notifies you on completion.
Reviewing the Results
When the calculation finishes, a Warehouse Split Completed dialog appears. Click Review Split Results to return to the Split PO step with the fresh results, or Dismiss to stay where you are.
The results look the same as any other split: each line is broken into per-warehouse line items with their own destination location, PO number, and receipt quantities, while dates and other attributes carry over unchanged.

Skipped Lines
Some lines can't be split from demand, and Toolio skips them rather than guessing:
The choice has no planned demand in the order's window.
The same SKU appears on multiple lines of the document, so its demand can't be attributed to one line safely.
Skipped lines keep whatever split they had before, are marked with a warning indicator on the Split PO step, and are listed with the reason in the Task Manager. The rest of the document splits normally — skipped lines never fail the run. You can handle them by hand, for example with a percentage profile.
If the calculation fails outright, an error message appears and no lines are changed.
Keeping Splits Up to Date
A System Recommended split stays tied to its inputs. When you edit a line that uses it — changing units or delivery dates — Toolio re-runs the calculation on your next save, so the split always reflects the line you actually ordered.
FAQs
Why are Save, Approve, and Optimize Packs disabled on my purchase order?
A warehouse split calculation is running for that document. The actions re-enable as soon as it finishes; you can watch progress in the Task Manager.
Why does a line show a warning indicator on the Split PO step?
The last calculation skipped it — either the choice had no planned demand in the order's window, or the same SKU appears on more than one line of the document. The line kept its previous split; the Task Manager has the details.
Can I edit or delete the System Recommended profile?
No. It is managed by Toolio, so it doesn't appear on the Settings → Assortment Plan → Warehouse Split Profiles page and can't be renamed, edited, or deleted.
Does the split change how many units I'm ordering?
No. The line's total units stay exactly as planned — the calculation only decides how those units are distributed across warehouses.
What happens to my pack optimization results?
A new split invalidates the document's existing pack optimization results, so run Optimize Packs again after the split completes. During the calculation, pack optimization is temporarily disabled.
