Exporting Data from a Grid
You can export what you see in a Toolio grid at any time by right-clicking and choosing Export All. This is a one-off download, separate from Scheduled Report Deliveries, which emails a report on a recurring schedule.
Use Cases
Pull a snapshot of your plan into Excel for offline analysis or to share with a colleague.
Produce a PDF of a view for a meeting or a sign-off pack.
Exporting from the Grid
Right-click anywhere in the grid and hover Export All.
Choose one of the available formats:

Settings and Master Data grids offer CSV and Excel from the same right-click menu. For Master Data specifically, see Exporting Data from Master Data.
💡 If a format isn't listed in the menu on the screen you're using, it isn't available there. The menu only shows what that screen supports.
Save Your View Before Exporting to PDF
A PDF is generated on Toolio's servers from your saved view, not from what is currently on your screen. Any change you have made but not saved will be missing from the file.
CSV and Excel behave differently. They export the grid as it appears right now, including unsaved changes.
Save your view first, then export to PDF.
Exporting More Rows Than Are Loaded
Larger grids load rows as you scroll, so a straight export only includes the rows loaded so far. Toolio warns you when this applies, and offers to take you to the export view.
To capture everything, select the three dots in the upper right and choose Navigate to Export View.
The view reopens in a new tab with all rows loaded. Right-click and choose Export All from there.
Export view opens the last saved state of your view, so save your changes before switching to it.
Showing Date Ranges in Column Headers
Time columns are labelled by period, such as Feb '25 or Last Week, which does not tell someone reading the exported file which dates those cover. You can add the calendar range underneath each heading.
Open Grid Options and switch on Show / Hide Dates in Headers.
The setting is saved with the view and is off by default, so it only affects the views you turn it on for. A scheduled delivery renders your saved view, so switching this on and saving means the dates appear in your recurring PDF reports as well.
❗ Date ranges need room to display. On narrow columns they are cut short, for example Feb 3 '25 - Mar... rather than the full range. Widen the columns, or use Auto size all in Grid Options, then save the view before exporting.

Why is my PDF missing a change I just made?
The PDF is built from your saved view. Save the view, then export again.
Why does my export have fewer rows than the grid?
The grid had not loaded every row yet. Use Navigate to Export View and export from there.
Why are the date ranges in my headers cut off?
The columns are too narrow. Widen them or use Auto size all in Grid Options, then save the view.
